Invite Workers to Submit Service Sheets
Invite workers to access the Coupa Supplier Portal and submit their service sheets or view their assignments, depending on the permissions you assign.
Introduction
Expedite service sheet submissions, as well as payments to yourself and workers, by inviting workers to create login accounts on the Coupa Supplier Portal (CSP) and submit their own service sheets. By allowing workers to confirm the work they've completed on assigned orders, you no longer have to collect and enter workers' hours or other deliverables yourself, reducing the potential for error. Workers can also see exactly what gets reported to customers about their completed tasks, without having to ask you, and service sheets can be submitted and approved faster. You can also allow workers to view and comment on their assignments.
Inviting workers to the CSP
Supplier users assigned the Invite Worker as User permission can follow these steps to invite workers to the CSP:
- Navigate to Workers in the CSP.
- Select the customer associated with the invited worker.
- Click the Invite icon in the Actions column of the Worker Profiles table next to the worker you want to invite, or visit the worker's profile page and click Invite Worker at the bottom of the page. The Invite action does not display for workers already registered with a CSP login.
- The email is prefilled from the worker's profile. You can enter a different email, and you can send the worker multiple invitations, each sent to a different email address, until the worker registers their account.
- Select one or more actions you permit the worker to perform in the CSP. Actions include:
- View their own service sheets.
- Submit their own service sheets.
- View their own assignments.
- Comment on their own assignments - requires the View assignments permission.
An email invitation is sent to the worker, which includes a link to the CSP where the worker can create an account. The History section of the worker's profile logs that the invitation was sent.
View worker portal access information
Admins can view and manage workers' who have registered for login accounts, across all of your customers, under in the CSP. For details, see the Manage workers' portal access section in View and Edit Worker Information.
The Portal Access section on workers’ profile pages includes the following information about the worker’s CSP login, for the customer you are currently viewing:
- User name
- Status - Is the worker's CSP login account Active, Deactivated, and so on.
- Permissions - Actions the user can take in the CSP for this customer.
