How to Upload Certificates as a Supplier
Use the Coupa Supplier Portal (CSP) to upload and share your certificates with buyers, including diversity certifications.
Your buyers may request certificates from you through Coupa, including diversity certifications, security, or several other types including ISO, SOC and CMMI.
You may also want to keep these in your Business Profile to rank higher on search results from verified buyers of the Coupa Community.
You can add multiple certifications for a country, by selecting the Upload Certification link in the upload modals of each method.
There are several ways you can add a certificate to the CSP depending on your situation:
Upload certificates through Supplier Actionable Notifications (SAN) emails
SAN can vary according to your configuration and supplier's settings.
Follow the instructions on screen when you select a specific customer's form.

Upload a certificate in a customer form
Customer requests can be accessed in the supplier Workbench and through notifications.

Upload a certificate to your Business Profile

Navigate to the page.

Scroll down to the Diversity & Certificates section.
This section gives your customers information about how your business engages with social goals. You can select diversity certifications that apply to your business and can upload supporting documentation to verify the certification.Figure 2. Select Upload Documents.

Fill out the information on screen for each certificate.
Upload a file of the certificate. Maximum file size is 25MB. Allowed file types are PDF, JPG, JPEG, PNG, TIF, TIFF, BMP, DOC, DOCX, ZIP.
Once you upload a certificate, you can see a preview of the uploaded certificate.
- Select the Country/Region of the certificate.Note: The diversity classification options from the next dropdown list varies according to the selected country.
Select the Certificate Type from the dropdown list. The options vary depending on your selected Country/Region.
Set the Effective Date and Expiration Date of the certification.
For certificates other than diversity that not expire, you can select the "Does not expire" option.
Add Subcategory and Agency details.
- When complete, scroll down the dialog box and select the Add button.

Review your uploaded certificates and update them if necessary.
Navigate to the page and scroll down to the Diversity & Certificates section.
This area displays all certificates you have uploaded in form of a table:Figure 5. Diversity & Certificates table Use the search bar on top of the table to look for a certificate using certificate type, category, and description.
Search results are presented in the same table format.
- The columns in the Diversity & Certificates table include:
Country:
As included by the user that uploaded the document.
Certificate Type:
As included by the user that uploaded the document.
Select this field to see all the information about a specific certificate in a dialog box.
Category:
As included by the user that uploaded the document. This field depends on the country selected. Some categories can have the option to select subcategory.
Description:
As included by the user that uploaded the document.
Status:
This column displays one of three different badges depending on the expiration date of the certificate:Active
Expiring soon
Expired
Attachment:
Any uploaded files related to the certification, as included by the user that uploaded the document.
Select the file name to download.
Maximum file size is 25MB.
Allowed file types are PDF, JPG, JPEG, PNG, TIF, TIFF, BMP, DOC, DOCX, ZIP.
- Actions:
Edit:
Select the pencil icon to edit the information on any given certificate. You can change all fields, and include different attachments.
Delete:
Select the trash icon to remove the certificate.
Updating certificate information will also prompt suppliers to sync changes with linked customers.
Tier 2 Diversity information
Your Coupa customers often have to report on the diversity of their spend to maintain diversity certifications. When they request Tier 2 Diversity Reports, they are asking you to report on any of your company's spending with your diverse suppliers over a specific period of time.
